Vizzion Villas Inc. ("we," "us") provides property management services. This policy explains what personal information we collect from property owners, rental applicants, tenants, and guests, how we use it, and the choices you have. Contact us at info@vizzionvillas.com.
2. Information we collect
From property owners:
- Name, email address, phone number, and mailing address
- Property address, ownership documentation, and insurance details
- Banking details for payouts, and tax identification required for annual reporting
From rental applicants and tenants:
- Name, contact details, date of birth, and government ID where legally required
- Employment and income information, rental history, and references
- Credit and background screening results, obtained with your written consent through a third-party screening provider
- Lease records, payment history, maintenance requests, and correspondence
From short-term rental guests: name, contact details, booking dates, party size, and any accessibility or dietary requests you choose to share.
Payment information: handled entirely by Stripe. We never see or store full card numbers — we receive only confirmation of payment and the last four digits.
Website data: basic aggregated usage statistics. Our site uses only essential cookies and does not run advertising or cross-site tracking.
3. How we use it
- To evaluate rental applications and place tenants or guests
- To collect rent and booking revenue, reconcile expenses, and pay owners
- To coordinate maintenance, inspections, and emergency response
- To produce owner statements and annual tax summaries
- To comply with legal obligations, including lease law, occupancy tax filing, guest registration, and anti-money-laundering rules
We do not sell personal information, and we do not send marketing email without consent.
4. Who we share it with
- Stripe — to process payments (see Stripe's Privacy Policy).
- Tenant screening providers — to run credit and background checks, only with the applicant's written consent.
- Property owners — owners receive tenant name, lease terms, payment status, and maintenance history for their own property. Owners do not receive full credit reports or background-check detail; they receive only the screening decision.
- Contractors and vendors — the minimum needed to complete a work order, such as a name, address, and access arrangements.
- Authorities — where registration, tax filing, or lawful request requires it.
- Accountants and legal advisers — where necessary to run the business or enforce an agreement.
5. Retention
- Owner and financial records: 7 years, for tax and accounting purposes.
- Tenant lease files: 7 years after tenancy ends, or longer where a dispute is live.
- Unsuccessful rental applications: 12 months, then deleted.
- General enquiries that do not lead to an agreement: 24 months.
6. Security
Card data is handled exclusively by Stripe, a PCI-DSS Level 1 certified processor. Owner, tenant, and guest records are held in access-controlled systems available only to staff who need them for their role. Screening results are restricted to leasing staff.
7. Your rights
You may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it — subject to the legal retention periods above. Email info@vizzionvillas.com and we will respond within 30 days. If a screening decision was made about you and you believe the underlying data is wrong, tell us and we will tell you which screening provider supplied it so you can dispute it directly.
8. Children
We do not knowingly collect information from children, other than the names of minor occupants supplied by a parent or guardian on a lease or booking.
9. Changes
Changes to this policy are posted on this page with a revised effective date. Material changes affecting owners are also sent by email.
